To ensure the recruitment journey is smooth sailing and every new employee enjoys the best onboarding experience possible.
The successful candidate will have a sharp eye for detail and thrive in a fast-paced, dynamic, and engaging environment. You will be able to manage multiple tasks simultaneously and prioritize your workload effectively. This role requires collaborating across various time zones and a willingness to accommodate flexible working hours.
Key Responsibilities:
Candidate Coordination:
- Schedule interviews, meetings, and assessments between candidates and hiring teams.
- Communicate effectively with candidates, providing timely updates and ensuring a positive candidate experience.
Application Tracking:
- Provide support to the Talent Acquisition Partners in managing the applicant tracking system (ATS) to ensure accurate and up-to-date candidate information.
- Regularly update our Applicant Tracking System to track the progress of candidates throughout the hiring process.
Onboarding and Offboarding Support:
- Collaborate with the People team and hiring managers to assist in the onboarding process for new hires.
- Ensure all necessary candidate documentation is collected and processed efficiently.
- Utilising predefined templates, generate employment offer letters and contracts, then submit them using DocuSign to track the signing process completion.
Collaboration:
- Work closely with hiring managers, The People Team, Payroll, Finance and other stakeholders to ensure a cohesive and efficient recruitment process.
- Participate in team meetings to discuss ongoing recruitment activities and identify areas for improvement.

- Proven experience in a coordination role, preferably in talent acquisition or HR.
- Experience working with a HRIS, HiBob or similar
- Experience using FreshService or similar ITSM software system
- Strong organisational and multitasking abilities with a keen attention to detail.
- Minimum English language skills at B2 level or higher combined with strong interpersonal and communication skills.
- Proficiency in Google Workplace and familiarity with applicant tracking systems (ATS) preferably SmartRecruiters.
- Ability to maintain confidentiality and handle sensitive information.

The salary for this position is 8000-9000 PLN gross per month.
